Appointment Management with Website
Appointment Website Management allows customers to book appointments directly from the website by selecting a preferred date, appointee, and available time slot. The app shows live slot availability, prevents duplicate bookings when same-slot restriction is enabled, and automatically creates each request in the existing backend appointment workflow. Customers can track appointments, communicate through messages and attachments, access related invoices, and complete online payments from the portal. It provides a complete connection between website booking, backend appointment processing, customer communication, invoicing, and payment management.
Features
Website Appointment Booking and Live Slot Availability
Customers can book appointments through a responsive website form with personal details, address, preferred date, appointee, notes, and job description. Available and booked slots update dynamically based on the selected date and staff member. Same-slot validation prevents duplicate bookings, while logged-in customer details are filled automatically.
Customer Portal Appointment Tracking and Communication
A dedicated Appointments section allows customers to view, sort, filter, and track their bookings from My Account. Each appointment page displays the schedule, appointee, status, notes, and contact details. Customers can also exchange messages and upload attachments securely against the relevant appointment.
Backend Workflow, Service Charges, and Invoice Creation
Website bookings are created directly in the existing backend appointment workflow with all submitted customer and schedule information. Staff can move appointments through New, Waiting, Confirmed, Cancelled, and Done stages. Products, services, quantities, prices, and taxes can be added before generating the linked customer invoice.
Portal Invoices and Online Payment
Customers can access appointment-related invoices from the standard portal invoice section. The portal displays invoice lines, taxes, due date, payable amount, and communication history. Customers can download invoices and complete online payments when a compatible payment provider is configured.

Appointment Management
The Appointment Management app is the required backend module for this website extension. It manages customers, appointees, appointment dates, configurable time slots, same-slot booking restrictions, workflow stages, service charges, customer invoices, and appointment tracking from one centralized system.

1.) Book an Appointment from the Website
Customers can open the Appointment page and enter their personal details, address, preferred date, appointee, appointment slot, client note, and job description. Available and already booked slots are shown clearly based on the selected date and appointee. Clicking Book Appointment creates the request directly in the existing appointment management workflow.

2.) View the Appointment Submission Confirmation
After successfully submitting the booking form, the customer is redirected to a confirmation page showing the generated appointment reference, appointment date, and selected time slot. The customer can immediately create another booking or open the portal appointment list. This confirms that the website request has been recorded successfully.

3.) Access Appointments from My Account
The customer portal includes a dedicated Appointments card alongside other available portal services. Customers can use this option to book, follow, and communicate about their appointment requests. The compact card design fits naturally within the standard portal dashboard layout.

4.) Review Appointments in the Customer Portal
Customers can view all their appointment requests in a structured portal list containing the appointment reference, appointee, date and time, slot, and current status. Sorting and status-filtering options help customers locate specific bookings quickly. The Book Appointment button provides direct access to the website booking form.

5.) View Appointment Details and Communication
The appointment detail page displays the scheduled date, selected slot, appointee, request date, notes, job description, and customer contact information. Customers can review the complete booking information from one page. The Messages & Attachments section supports appointment-related communication and file sharing.

6.) Manage Website Appointments in the Backend
Website appointment requests are created directly in the existing backend appointment model without introducing a separate workflow. The appointment opens in the New stage with customer, address, date, slot, appointee, contact details, and submitted notes already populated. The chatter records that the appointment was submitted from the website.

7.) Confirm the Appointment and Add Service Charges
The appointment can move through the configured workflow from New to Waiting and Confirmed. Products or services can be added under the Charges tab with quantity, unit price, taxes, subtotal, and total values. Once confirmed, the linked invoice can be created and accessed using the invoice smart button.

8.) Generate the Customer Invoice
The generated customer invoice automatically includes the appointment reference, appointee, customer, invoice date, due date, products, quantities, prices, taxes, and totals. The invoice follows the standard accounting workflow and can be sent, printed, posted, paid, or reset to draft. Invoice activity is also recorded in the chatter.

9.) Access Appointment Invoices from My Account
Customers can access invoices created from their appointments through the standard Your Invoices portal card. The appointment and invoice portal entries remain available together in My Account, allowing customers to manage both booking communication and related billing from one location.

10.) Review and Pay the Appointment Invoice Online
The portal invoice page displays the invoice amount, due date, customer details, invoice lines, taxes, and final total. Customers can download the invoice, communicate through the portal chatter, or use the Pay Now button when an online payment provider is configured. The invoice remains securely linked to the customer’s portal account.
